Role: Lead Virtual Event Producer, End to End Production Planning and Oversight
Intro
The Human Experience Summit is a global four day virtual event produced by HR.com, the leading network for more than 1.88 million HR professionals. The Summit brings together executives, SVPs, VPs, CLOs, and industry experts to explore strategies that go beyond the traditional employee experience and focus on human experience management and leadership development.
As Lead Virtual Event Producer, I managed the entire production cycle from concept through execution. I orchestrated all programming, speaker preparation, platform operations, exhibitor and sponsor setups, schedule flow, networking elements, and award components. My work ensured that thousands of participants experienced a polished, seamless, and highly engaging multi day online event.
Objective
Deliver a fully coordinated and professional virtual summit that connected global HR leaders, delivered interactive learning experiences, and supported certification requirements, exhibitor engagement, and a smooth participant journey across four full days.
Challenge
The Summit featured keynotes, breakouts, roundtables, exhibitor hours, networking lounges, and an awards segment. This required managing hundreds of speakers in different time zones, aligning session timing for SHRM and HRCI credits, coordinating with multiple internal teams, and preparing a fully built virtual environment before live execution.
A clear production strategy and detailed operational planning were essential to enable the virtual events team to execute confidently.
Strategic Approach
1. Program Architecture and Production Planning
Developed the production plan for the pre conference and three day main event.
Organized session schedules, exhibitor hall windows, networking times, and structured daily flow.
Created run of show documentation and production notes for every session type.
2. Speaker and Moderator Preparation
Managed onboarding for speakers and moderators across keynotes, breakouts, and roundtables.
Delivered technical instructions, timing guidance, expectations, and rehearsal support.
Ensured all presenters entered the live environment with clear direction and well prepared content.
3. Virtual Platform and Environment Setup
Built the complete Summit environment inside the platform, including session rooms, speaker profiles, exhibitor booths, networking lounges, and agenda navigation.
Uploaded presentations, assets, and promotional materials.
Tested platform components for functionality and alignment with the production plan.
4. Exhibitor and Sponsor Activation
Created exhibitor and sponsor booth listings with accurate branding and engagement tools.
Coordinated sponsored session requirements and visibility options.
Structured booth visitation times to support consistent lead flow.
5. LEAD Awards Virtual Integration
I led the initial strategic planning for the virtual LEAD Awards, including the segment structure, timing, and presenter guidelines. Once the strategy was established, a colleague managed the detailed execution and live production of the awards program.
Execution and Team Coordination

Provided the virtual events team with detailed run sheets, timing notes, scripts, and session workflows.
Communicated technical needs for each session so the team could manage backstage rooms, speaker cueing, timing, and platform controls.
Ensured all production documentation was accurate and ready for execution.
Cross Team Collaboration
Partnered with marketing, customer success, platform support, and the production team to maintain consistency across all event days.
Monitored overall flow and responded to real time issues by directing the appropriate team.
Ensured presenters, exhibitors, and attendees had a smooth experience supported by clear operational planning.
